Clear rules make a fair studio. This page is a summary of CEM's key policies. The full terms are provided in the Enrolment Pack when you enrol, and are agreed by signing and returning the pack.

Absences and make-up classes

In-person students

• Please notify at least 1 hour before class via text, email, or KakaoTalk
• Pre-approved absence: a make-up is offered during a Study Hall session, within the following week only
• During school holidays, make-ups can be arranged online
• No prior notice counts as a no-show. No-shows are not eligible for refunds or make-up sessions

Online students

• Please notify at least 1 hour before class via text, email, or KakaoTalk
• Pre-approved absence: a make-up date is arranged together, within the following week
• No prior notice counts as a no-show. No-shows are not eligible for refunds or make-up sessions
• If a lesson cannot proceed due to a technical problem beyond either side's control, such as an internet outage or platform failure, a make-up class is arranged

Study Hall

• Study Hall runs on weekly paid sign-up. A spot is secured once payment is confirmed
• Missed Study Hall sessions are not refundable and are not eligible for a make-up
• Make-up classes attended during Study Hall are free of charge

Illness

• If a student is unwell but still able to learn, and there's any risk of passing it on, please keep them home and join the class live online instead
• If a student is too unwell to attend at all, we recommend using a Study Hall session to catch up once they recover
• For anything beyond this, please arrange directly with the teacher

Food and allergies

• Only water is allowed during class. Snacks and other food are not permitted in the classroom
• No sharing of food, drinks, or utensils at any time on the premises
• Please tell us about any allergies in the Enrolment Pack before the first class, and keep us updated if anything changes
• For diagnosed anaphylaxis, please provide a copy of the child's ASCIA Action Plan and let us know where their medication is kept
• CEM is allergy aware, but the studio is a shared space and we cannot guarantee an allergen-free environment. Food brought by a student remains the family's responsibility

Late arrival

• Classes start on time. Arriving late does not extend the lesson

Drop-off and pick-up

• Drop-off: up to 10 minutes before class
• Pick-up: within 10 minutes after class ends
• Students heading to PK Taekwondo after class go straight to the dojang
• Students going home wait on the bench in front of the classroom until their guardian arrives
• If pick-up is running late, we'll contact you. Repeated late pick-ups may lead to a meeting, and habitual late pick-up may incur a $10 fee per occurrence
• CEM's duty of supervision covers class time and the drop-off and pick-up windows above. Outside these times, students are in the care of their parent or guardian

Shared space

• Students who arrive early wait quietly on the bench outside the classroom
• The building is shared with PK Taekwondo students and parents. Please be respectful of everyone using the space

Behaviour

• CEM classrooms run on the same respect we ask of everyone: courtesy toward teachers and toward each other
• If a student repeatedly disrupts others' learning, we'll talk with the student first, then with parents
• If it continues after that, we may pause the student's enrolment

Safety and live observation

• All CEM tutors hold a valid Blue Card (Queensland Working with Children Check)
• Online lessons run via Zoom, and parents are welcome to observe live at any time. To keep the class focused, observers join muted with cameras off
• Lessons may not be recorded, screenshotted, or shared by students or observers without CEM's written permission
• In an emergency, CEM will contact the parent or guardian and, where consented in the Enrolment Pack, seek medical assistance including calling an ambulance. Any costs are the responsibility of the parent or guardian

Belongings

• Please keep unnecessary items in the bag during class, and avoid bringing valuables
• CEM is not responsible for lost or damaged belongings

Class materials

• Class materials, including CEM workbooks, are for the enrolled student's personal study only and may not be copied, shared, distributed, or transferred to others

Homework and refund eligibility

• This section applies only to students enrolled in classes with homework
• Submitting each assignment by its due date is strongly encouraged
• Feedback is provided within 2 business days of submission
• Missing homework 5 or more times in a row may make the student ineligible for a refund

Tuition and payment

• A place is confirmed once the signed Enrolment Pack is returned and payment is received
• Classes held at Classroom Studio are charged per term, based on the number of classes scheduled for that term
• Private (1:1) lessons are invoiced monthly and payable in full by the 1st of each month, including when held in person
• Payment details are sent individually once enrolment is confirmed. When paying, please write in the payment reference: the term number for term-billed classes, or the month for private lessons, plus the student's name
• Late payments will receive a reminder via email and KakaoTalk
• Fees may be reviewed each term. Any change is announced at least 4 weeks before the next term begins

Refunds and withdrawal

• The refund terms below apply to term-billed classes
• Cancelling before the term starts: full refund
• Withdrawing within the first 2 weeks of term: pro-rata refund for the remaining classes
• From week 3 onwards: no refund, but remaining classes can be converted to credit for the following term
• Textbooks and workbooks are non-refundable once issued
• If CEM cancels a class, we offer a make-up or a refund for that class
• Monthly-billed private (1:1) lessons run month to month. Either party may end lessons with at least two (2) weeks' written notice
• Nothing in these policies limits your rights under Australian Consumer Law

Enrolment Pack

• Student information and consent forms are included in the Enrolment Pack sent when you enrol
• It covers emergency contacts, authorised pick-up persons, PK Taekwondo attendance, photo and media consent, and permission to leave unaccompanied
• Please complete and return the pack before the first class. Your place is confirmed once the signed pack is returned and payment is received

Schedule

• Weeks affected by Queensland public holidays are excluded from the term's class count and are not charged
• If severe weather or venue closure makes an in-person class impossible, the class is moved online or treated as a make-up
• CEM operates on a term-based schedule
• Schedule changes are announced via KakaoTalk
